We are seeking an energetic, self-starter to join our group as a Sales & Marketing Administrator (SMA). This role provides critical support for the Sales, Marketing, and Executive teams, the SMA will play a key role in supporting all internal and external sales and marketing activities across the IOR organization with the goal of increasing company revenues, enhancing brand awareness and producing quality marketing communication.   


This is a full-time position based in our Northbrook, IL office, and reports to the Director of Global Client Solutions.  We are unable to offer relocation assistance for this position. This position is open to individuals legally eligible to work in the United States.  




Marketing Communications  

  • Email / client direct marketing  
  • Generate email campaigns using the Constant Contact email platform 
  • Manage mailing lists gathered from internal (Salesforce) and external (email requests) tools 
  • Draft and edit email communications (newsletters/announcements/promotions) in conjunction with Marketing and Business Unit Directors 
  • Provide data reports to track effectiveness of mailings  
  • Regularly update email database 
  • Website 
  • Be proficient on website content management system 
  • Update website with content relating to company and industry-wide events and information 
  • Collaborate with the Business Units to draft and update website content for each service 
  • Run Google Analytics to report on website statistics and other analytical projects as needed  
  • Contribute to website design; make suggestions for website improvements; investigate competitors’ websites 
  • Visual Media 
  • Design and create marketing collateral and update as necessary; work with Directors across IOR to understand and communicate the brand message  
  • Work with sales team to design and create client-focused presentations and materials  
  • Become familiar with video production and editing 
  • Social Media  
  • Work with Marketing Associate to provide strategies for increasing IOR’s presence on social media 
  • Research and upload content to keep IOR Twitter handleLinkedIn Company page and Facebook page updated on a consistent basis  
  • Monitor and engage with social media followers 
  • Provide quarterly reports to Management and Marketing on trends and impact of social media campaigns  
  • Promote public speaking engagements and industry events for IOR team members 
  • Webinars/Events 
  • Provide support in planning, marketing, implementing and facilitating webinar events via Go2Webinar platforms 



Sales Support  

  • Understand and articulate IOR’s services including Destination Services, Cultural Training, Language Training and Global Talent Development 
  • Draft, edit and support the development of sales and marketing presentations and proposals for clients 
  • Work with to update and maintain account assignment, contact information and client activity 
  • Support with client annual reviews and additional ongoing reporting for clients 
  • Assist with organizing industry conference activities including conference logistics, registration, travel bookings for staff; help coordinate and manage IOR-sponsored events  
  • Suggest and coordinate promotional company items for internal and external parties  
  • Organize electronic files within Sales and Marketing drives to make for easy and logical access for IOR personnel  
  • Provide administrative support and desk coverage for sales and marketing functions 


Management Support  

  • Create, edit and format staff meeting / strategic planning presentations and report 
  • Perform special projects as needed for Business Unit Directors 
  • Conduct research on market and competitors, update teams as needed 





  • Extremely organized, detail-oriented and thorough 
  • Strong oral and written communication skills 
  • Ability to support and prioritize multiple efforts needed for various projects  
  • Tech-Savvy: Strong technical skills with proficiency in Office 365 (including Outlook, Word, Excel, PowerPoint, Skype for Business), MS Publisher, Adobe, Salesforce, Photoshop, Constant Contact and willingness to learn other proprietary software applications 
  • Able to interact professionally and collaborate with internal teams; comfort and confidence speaking to outside suppliers, customers and conference personnel 
  • Display positive attitude, enthusiasm and willingness to learn 
  • Creative and design capabilities (preferred)  
  • Experience working with / supporting sales and marketing teams (preferred) 



  • College degree – marketing communications, business or related degree preferred 
  • International study or work abroad preferred 
  • Multi-lingual a plus
